This Privacy Policy explains how we collect, use, process, share, and protect your information when you create an account, upload portfolio files, communicate via our messaging system, track work hours, utilize our wallet system, or perform financial transactions on CreativeHubPH.

- Account & Profile Information: First name, last name, email address, password, role designation (Client or Freelancer), professional title, bio, hourly rate, and profile picture/avatar.
- Verification Assets (Strictly Vetted):
- Government-issued identification documents (e.g., passports, driver's licenses, national IDs) and selfies to perform manual identity verification, fraud prevention, and withdrawal security auditing.
- Mobile phone numbers for SMS verification and optional Two-Factor Authentication (2FA).
- Financial & Wallet Transaction Details: Billing details, linked bank/e-wallet payout accounts, invoice transaction logs, deposit references, withdrawal requests, and project contract payment histories. (We do not store credit card numbers directly; all billing is processed securely by our payment gateway partners).
- Work & Communication Data: Messages exchanged within the platform's chat rooms, files uploaded for project collaborations, portfolio assets, project proposals, client reviews, and hourly logs submitted via time-tracking features.
- Usage & Device Information: IP addresses, browser types, operating systems, and device identifiers collected automatically through cookies and logging systems.
3. How We Use Information
We process your personal data for the following essential business operations:
- Facilitating Matches: Displaying freelancer portfolios, hourly rates, and ratings to clients seeking to hire talent.
- Contract & Escrow Handling: Enabling hourly logging, time-tracking validation, and invoice creation for project milestones.
- Payment Operations: Integrating with secure payment gateways to execute client billing invoices, deposit funds into platform wallets, manage escrow holds, and initiate withdrawal payouts to freelancers.
- Identity & Trust Verification: Validating government IDs and phone numbers to verify users, which protects the marketplace against financial fraud and account spoofing.
- Admin Moderation & Dispute Resolution: Reviewing message transcripts and shared files when a project dispute or invoice dispute is flagged for admin moderation.

5. Sharing & Third-Party Services

- Payment Processing: Payment transactions, escrow funding, milestone deposits, and withdrawal payouts are processed securely via our integrated payment gateway partners (such as PayMongo). No credit card or billing details are stored on our servers.
- Cloudinary Storage: User-uploaded files, portfolio items, workspace attachments, and contest entry images are securely uploaded to and hosted by **Cloudinary Ltd.** for optimized content delivery.
- Email & SMS Communications: We share user contact data (email addresses, phone numbers) with SMTP providers and SMS gateways to issue email verifications, passwords resets, transaction alerts, and 2FA notifications.
- Regulatory & Legal Authorities: Sharing credentials when legally requested by Philippines government bodies (e.g., BIR, NPC) or in connection with valid legal disputes.
6. Data Security & Retention Policy
We implement technical, organizational, and physical security measures designed to protect your personal data from unauthorized access, alteration, or deletion. This includes encrypting government ID submissions, securing database connections, and deploying firewalls.
Identity Documents Retention & Shredding Policy: To protect user privacy and prevent exposure of highly sensitive files, we do not permanently store government IDs, selfies, or document verification assets. Submitted verification files are stored in secure private folders using short-lived signed URLs visible only to authorized Administrators and Moderators (with all view actions logged). All sensitive files are deleted from our Cloudinary storage immediately upon review completion (approval or rejection) or automatically purged after a maximum retention period of fourteen (14) days. We retain only the verification status result, reviewer notes, rejection reasons, and access/review audit logs.
